Business management systems for Tanzanian SMEs
A practical workflow for Tanzanian SMEs moving from scattered manual records into one connected system: sales → inventory → expenses/debts → reports → AI insights → forecasting → team/branch management.
Who this workflow is for
Kraftech is designed for Tanzanian small and medium businesses that need a clearer view of everyday operations — including retail shops, wholesalers and distributors, service businesses, and growing teams managing stock, customer balances, expenses or staff.
It can also suit businesses replacing notebooks, spreadsheets, chat-based records or separate manual processes with one structured workspace. The best fit is a business willing to record transactions consistently so reports, insights and forecasts have useful data to work with.
1. Sales and checkout
Prepare selling prices and costs, select products at checkout and record each sale. Sales receipts provide a record of the transaction; customer details connect credit sales and eligible loyalty activity to the right customer.
2. Inventory and products
Review product quantities alongside sales to see what remains available. Record stock changes and compare the system with physical counts. Accurate product costs are essential for useful gross-profit figures.
3. Expenses, debts and repayments
Record operating expenses as well as sales. Keep customer credit balances and repayments up to date, so money owed is visible separately from money collected. On eligible plans, receipt scanning can prepare expense details for your review when its service is configured.
4. Reports and daily review
Review sales, expenses, stock and customer balances before closing the day. Supported CSV exports help authorized staff hand records to an accountant on eligible plans. Business health indicators summarize aspects of the records; they are only as useful as the information entered.
5. AI insights and questions
Use automatic insight cards to spot stock, margin and overdue-debt issues, then ask the AI Copilot questions about the business when available. Current cards use rules; the Copilot requires its AI service. Plan and role restrictions apply to these tools and the advanced Kraftech Score.
6. Forecasting and forward planning
On Biashara or Shirika, including eligible trials, the forecasting service can supply demand, cash-flow and debt-risk estimates when available. Use those outputs to plan purchases, anticipate cash needs and prioritize collections. Review the underlying data and treat forecasts as estimates.
7. Team and branch management
Assign staff roles and permissions to match who records, reviews and manages the business, within your plan’s staff allowance. Shirika lists multi-branch capability and includes a branch data model; the complete branch-management workflow is not yet available. Confirm readiness before planning a rollout across branches.
Start with a complete daily routine
Start with a manageable product list, sample transactions and clear responsibilities. Add AI, forecasting and other advanced tools once the core records are consistent. Eligible loyalty features and progress tools can support customer retention and regular record keeping.
